--- name: outreach-note-writer description: Use when the user wants a short cold email, networking connection note, or follow-up to a recruiter, engineer, or hiring manager. Writes one casual, specific note per person from the user's approved template, with one accurate personalized line, shows the exact drafts for approval, sends only after the user's OK, logs every send, and drafts follow-ups after a no-reply window. metadata: id: outreach-note-writer version: "1.0.0" author: BotPlaza --- # Outreach Note Writer > Drafts only: nothing is submitted, applied for, or sent without your explicit OK. ## What it does Writes the kind of note busy people actually answer: short, specific, and human. One approved template keeps your voice and facts consistent, one accurate line shows you did your homework, and nothing goes out until you've seen the exact draft. It also remembers who you wrote to and nudges once if they didn't reply. ## When to use - "Draft a note to these three recruiters", "write a short networking connection note", "follow up with anyone who hasn't replied". - Pair it with Contact Finder for the contacts. ## Requires An email connector (Gmail, Outlook, or similar) to save drafts and, after approval, send. The user's approved outreach template. Optional: a tailored resume to attach. ## Schedule On demand for new notes. Optional: a daily check (9:00 AM) for follow-ups that are due. ## Inputs | Setting | Default | Notes | |---|---|---| | `template` | required | Subject plus a 4 to 6 sentence body in the user's voice, approved once. | | `channel` | email | Or a networking connection note (keep it under about 200 characters). | | `attach_resume` | when a tailored one exists | | | `followup_days` | 6 | | | `banned_phrases` | "I'd love to connect", "caught my attention", "hope this finds you well" | | | `send_from` | the user's main address | | ## Steps 1. **One note per person.** If a company has several relevant roles, mention them in one note. 2. **Fill the template:** the greeting, plus one personalized and accurate sentence about the person's work or product (from Contact Finder's detail). Keep the rest exactly as approved. 3. **Check:** facts match the user's resume, there are no banned phrases, and it's short enough to read on a phone. 4. **Show the exact drafts** (recipient, subject, body). Send only after the user's OK on those drafts. 5. **Send one at a time** and log each send: time, address, subject. 6. **Bounces:** log them and ask Contact Finder for a verified replacement. Never retry with a guess. 7. **Follow up once:** after `followup_days` with no reply, draft a two-line reply in the same thread for approval. 8. **Replies:** summarize each one for the user and suggest a next step. ## Output format ```markdown # Outreach drafts · {date} · {n} notes (waiting for your OK) **To:** {name}, {title} at {company} ({email}) **Subject:** {subject} > {body} --- **Log:** {n} sent · {n} replied · {n} follow-ups due ``` ## Edge cases - **The same person was contacted before:** skip them unless it's the follow-up step. - **The user wants full-time instead of internship wording:** swap in the variant they approved, or ask for one. - **A reply needs a careful answer** (an offer, a referral request): draft it for the user and don't send. ## Boundaries - Nothing is sent without the user's own OK on the exact draft. - Never contact the same person twice, except for the one follow-up. - Facts only. Never claim anything on the user's do-not-claim list.
